Managing your team

This guide covers the member administration tasks on the Team page: inviting people, handling the invitations and join requests already in flight, changing someone's role, and removing access.

Before you start

You need a role that can manage the organization, which means Admin or Owner. Members with the User or Viewer role do not see Team in the sidebar.

Your organization also needs an active subscription. The Team page is hidden while a subscription is lapsed, so restore billing first if that applies. See Managing your subscription.

If a parent organization manages yours, the page explains that team membership is managed there and hides every action on it. Ask an administrator at that organization instead.

Adding a member consumes one of your plan's seats. See Plan limits and usage for what happens when you reach the limit.

Open the Team page

Select Settings in the sidebar, then Team. The page is titled Team Members.

The Team Members page listing members with their roles, above a pending invitations section

The page shows, from the top down: any join requests waiting on you, any invitations you have sent that are not yet accepted, and the current member list. The first two sections are hidden when there is nothing in them.

A footer counts your members and breaks them down by role.

Invite someone

  1. 1

    Open the invite dialog

    Select Invite Member.

  2. 2

    Enter their email address

Use the address they will sign in with. The invitation email goes to this address.

  3. 3

    Choose a role

Pick Viewer, User, or Admin. The dialog summarizes each one, and Roles and permissions covers them in full. You can change it later.

Owner is not offered here. It belongs to whoever created the organization.

  4. 4

    Send it

Select Send Invitation. The button reads "Sending..." and then "Sent!".

If the dialog reports that the invitation was created but the email could not be delivered, the invitation is still valid and appears under Pending Invitations. The message did not reach the recipient, so tell them yourself or resend once mail delivery is working again.

Manage invitations you have sent

Pending Invitations lists everyone invited but not yet joined, each with the role they were offered and how long the invitation has left. An invitation with no expiry set reads No expiry instead of a countdown.

  • Resend sends the email again. After each send the button counts down for a minute before it can be used again, showing "Wait 60s" and downwards.
  • The trash icon revokes the invitation. Confirm in the dialog that follows. The invite link stops working immediately.

Approve or decline a join request

People who join using your organization's code do not get in automatically. Their requests collect under Pending Join Requests, showing who asked, their email address, and when.

  1. 1

Pick the role they should get

The dropdown next to each request defaults to User. Change it before approving if that is not what you want.

  2. 2

    Approve or decline

Approve adds them with the role you chose. Decline opens a dialog asking why.

The reason is required, and it is emailed to the person who asked, so write something they can act on.

This section only appears for members whose role can approve requests. If you cannot see it and expect to, check your role.

Change someone's role

Find them in the member list and select the pencil icon next to their role badge. Pick the new role and select Save.

You cannot change your own role, and you cannot change the Owner's. The Owner's badge carries a (Protected) marker.

Remove someone

Select the remove icon on their card and confirm. They lose access immediately.

The same two restrictions apply: you cannot remove yourself, and you cannot remove the Owner.

Removing a member frees the seat they occupied.

Find a member

The search box above the list filters by name or email address as you type. The footer count shows how many of your members matched.
